The world's leading private security organization, G4S, has an immediate job opportunity for an Operations Administrator. As an Operations Administrator, you will provide support to the area office to ensure quality service are met for both customers and employees.  This position will work closely with operations management, and act as a liaison for the office staff as well as internal and external customers.  Primary duties will include, but not limited to, staff short-term services, oversee various accounts, manage time and attendance, attend operational and customer meetings with management, assist with transitions, prepare various reports, attend conference calls, train on Labor Scheduling and Secure Trax, data entry for post inspections and customer/employee records, equipment orders and fleet maintenance, and assist with coordinating other general office projects.  This position will administer the security contract and ensure compliance with regulatory and contractual requirements.  This position will act as the G4S Secure Solutions (USA) Inc. liaison with client, law enforcement agencies, customers, and employees.  This position is also responsible for providing management oversight and driving operational accountability through effective change management and leadership development processes.

** $300 bonus payable after 30 days of continuous employment. Bonus amount is subject to applicable federal and state income withholdings. **

Role Responsibility:

Specific Duties and Essential Functions

  • Staff any short-term special projects as assigned
  • Oversee multiple accounts to ensure contract compliance, staffing, and service level agreements
  • Assist with creation of post orders and organize operations paperwork/documentation
  • Provide supervision to Site Supervisors, and security officers with no on-site supervision, on a 24-hour basis.
  • Oversee the staffing, scheduling, and on-site training for security officers.
  • Ensure that contract-required training and screening elements for security personnel have been met.
  • Maintain overtime to a preset requirement designated by G4S USA.
  • Ensure quality of service and contract compliance by regularly inspecting and auditing each facility assigned to his/her area.
  • Assist with coordination of annual training for field employees
  • Interface with company and customer staff to support any needs and report pending action items to Management
  • Assist in interviewing, recruitment and personnel action changes
  • Schedule meetings/call for Operational staff
  • Review and report issues with time and attendance reports on a weekly basis
  • Coordinate transitions, and incumbent onboarding for new and existing customers
  • Create and maintain spreadsheets for various projects
  • Manage equipment orders such as uniforms, weapons, etc. and fleet maintenance for the branch
  • Attend various customer meetings with General Manager as required
  • Monitor and maintain phone usage and LS activity for approved users
  • Work closely with all Area Supervisors, Project Managers, Training and Administrative staff
  • Maintain working knowledge and qualifications to support Operations, and other designated key staff members during periods of absence
  • Coordinate and work closely with the local staff, to ensure all GM and customer requests are followed-up and responded to in a timely manner
  • All other operations and administrative tasks as assigned by the Operations or General Manager


The Ideal Candidate:

Education, Licenses and Certifications Required

  • Must possess a high school diploma or equivalent

Type and Length of Specific Experience Required

  • Minimum of two (2) years of successful work experience in personnel supervision
  • Minimum of two (2) years of successful work experience in office administration, project coordination or related field
  • Prior work experience in customer service
  • Work history to include demonstration of each of the following:
    • Organizational and time management skills
    • Knowledge in Microsoft office applications

  • Must be at least 18 years old or the minimum age required by the state, if higher
  • Must be a U.S. citizen or a foreign citizen authorized to legally work in the United States
  • Must not use illegal drugs. Must be able to pass a drug test with negative results (except when undergoing documented medical treatment).
  • Must submit to an extensive background check, including criminal history, personal references, employment and education verifications, and Department of Motor Vehicle and credit checks if applicable
  • Must be able to provide, upon job offer, a DD214 discharge document with discharge status indicated, if prior military

Physical Requirements and Environment

Environment: Office; minimal to no exposure to extreme temperatures is expected

Major Activity: Working on PC while sitting

Physical efforts to carry out job duties: Limited, to include some standing, bending, and limited stretching and reaching.
