Job Introduction:

An exciting opportunity has arisen for an experience Executive Assistant to join our team.  Assisting two Directors the successful applicant will be able to demonstrate excellent organisational skills together with the ability to cope in a fast paced ever changing environment.

G4S Risk Management’s primary focus is to provide national governments, multinational corporations and international peace and security agencies operating in hostile or sensitive environments with:

  • Protective security services
  • Risk advisory and consultancy services
  • Specialist training
  • Mine action services including Weapons Reduction and Explosive Ordnance Management
  • Development and reconstruction services.


Role Responsibility:

  • Diary management, coordinating meetings and meeting room bookings
  • Organising and expediting flow of work through Director’s office initiating follow up action
  • Monitor managers’ Outlook inbox and deal with issues within remit
  • Travel management including arranging flights, visa’s and accommodation
  • Coordination of departmental team meetings
  • Point of contact between operational departments and head office functions
  • Work to deadlines to produce monthly trading review information for the management team, compiling reports, producing a balanced KPI scorecard that covers the whole Risk Management Business.
  • Process management expense submissions and holiday requests
  • Primary point of contact for department
  • Ensure that all administration processes are in accordance with the G4S Quality Management System
  • Provide clerical support in the production of reports, returns and presentations
  • Undertaking ad-hoc projects as directed by the management team
  • General administrative duties – typing letters, taking and producing minutes of meetings, document amendments, presentations, reports, filing and stationery ordering

The Ideal Candidate:

To provide comprehensive administrative support to Senior Management in a busy, fast-paced environment.  The ideal candidate will possess the following qualities and experience.

  • Educated to Degree Level standard or equivalent
  • Minimum 2 years experience in a Secretarial / PA role for Senior Management
  • Proficient in all MS applications
  • Ability to communicate at all levels both verbally and in writing
  • Ability to act with discretion and maintain confidentiality
